This is a SOURCES SOUGHT only pertaining to brand name or equal item(s) for the VA Northern Indiana Health Care Systems (NIHCS). If a solicitation is issued, the Government will do so in accordance with Federal Acquisition Circular (FAC) 2025-04. The North American Industry Classification System (NAICS) number is 339113. The NAICS size is 800 employees. Any contractor that believes they are capable and desires to claim preference for small business status must be registered with the SBA and be able to be located through SBA - Dynamic Small Business Search. Any contractor that believes they are capable and desires to claim preference for veteran owned small business status must be registered with in VetCert at Veteran Small Business Certification (sba.gov) as an SDVOSB or VOSB. VA Northern Indiana Health Care Systems (NIHCS) intends to solicit offers for medication management equipment and software for patient medication stations, drug diversion and inventory management software at multiple locations for 46 dispensing areas within those locations. Contractors that deem themselves capable of meeting the requirement shall provide the below information to Lonnelle Jones, Contract Specialist, at lonnelle.jones@va.gov no-later-than Friday, July 18, 2025, at 5:00PM, EST, referencing 36C25025Q0718. Responses shall include: (1) Business Name and Address (2) Contract Number items are covered under, if applicable (3) Point of Contact Name, Phone Number and E-mail Address (4) SAM UEI and NAICS code (5) Business Size SMALL or LARGE (6) Type of Business: service disabled veteran owned, veteran owned small business, 8a, HUBZone, woman-owned, etc. (7) Information for the product you would propose and which if any of the salient characteristics below it does not meet. (8) Where the proposed product is manufactured. (9) A concern that is not a manufacturer of the supply shall provide the manufacturers name and size standard and an authorized distributor letter. (10) If the concern is the manufacture and the sole distributor, please provide documentation to that effect. If the concern is the manufacturer and has authorized distributors, please provide a list of the authorized distributors as well. (11) Current lead time of equipment that will be proposed. Each piece of equipment MUST be able to fit the current footprint of space, utilizing maximum medication storage. Walkthrough is not required. The patient medication systems must include: a. Web server for IDN b. Single formulary for all locations c. Passwords must synch with VISTA d. Software updates must be included within the contract e. Patient dose specific labeling at med stations f. Remote queuing and wasting capabilities g. Integration with current pharmacy packager h. Duplicate name alerts i. Easy to clean keyboard and work surface for infection control compliance j. Easy viewable medication administration times k. Automatically print med labels m. Option to add software enhancements n. Ability to review current inventory status remotely o. Centralized access assignment by designated service p. Allow for seamless integration and no loss of function/reporting with the following equipment/systems: a. Automed Fastpak b. Pharmaceutical Carousel Storage and Tracking Device c. Knowledge Portal d. IV Infusion Pump Equipment and software must interface with the current pharmacy packing equipment, and software associated with current medication carousels already in place and CERNER software expected to be implemented in the future. Each med station main must include a flat cleanable keyboard, a patient specific medication labeling system and barcode scanning capabilities. The patient medication system must include a web server for IDN (integrated delivery network), a single formulary that works for all locations, passwords must sync with VANIHCS s electronic health record, must have labeling capability for patient dose specific labeling at each med station, provide remote queuing and wasting capabilities for nursing, must be able to integrate with current pharmacy packager and carousel, provide duplicate name alerts, have easy to clean keyboard and work surface for infection control compliance, provide easy to view medication administration times for nursing staff, automatically print medication labels, include the option to add software enhancements if funding is available, enable pharmacy and/or nursing to remotely check availability of product from any computer workstation, and all VANIHCS users need only be assigned a role by pharmacy to have access. The drug diversion software must include drill down capabilities, drug audit processes, monthly reporting, at least 7 years of data storage and be able to pull data from automated dispensing units and anesthesia carts.
