Bill Young VA Medical Center. For purposes of this document, records are defined as documents, files or records created by and/or maintained by Bay Pines Veteran Affairs Healthcare System (BPVAHCS). These records include, but are not limited to, medical records, radiology film, Fiscal, Human Resources, Fee Basis, Engineering, Police records and all other administrative files. Scope of Work; The Contractor shall provide secure storage of BPVAHCS records in a facility that meets the requirements of the National Archives and Records Administration (NARA) (see appendix 1). Additionally, the Contractor s storage facility must be officially approved and certified by NARA. Upon request, the Contractor shall retrieve records and return them to Bay Pines Veteran Affairs Healthcare System within two business days or during the next scheduled pick up as directed by the Contracting Officer s Representative (COR) or Logistics warehouse supervisor. The Contractor shall be responsible for legal destruction of such records upon authorized written request by BPVAHCS Records Control Officer or designee. Destruction will occur at the close of each life cycle for documents that are stored at the contracted facility and in compliance with VA Directive 6371, Destruction of Temporary Paper Records. A certificate of final destruction will be provided to the Records Officer or designee for records destroyed by the Contractor. The contract is estimated to be a base year with four options.
