SCOPE: THIS IS NOT A SOLICITATION ANNOUNCEMENT. THIS IS A REQUEST FOR INFORMATION Only. Provide all labor, equipment and materials for the preventive and corrective maintenance of the systems hardware and software included under schedule A (item 1.2) herein located in the VA Caribbean Healthcare System (San Juan & Mayaguez OPC) for the period of one Base year and four years option period, in accordance with the following conditions: Perform all inspections and maintenance services in accordance to manufacturer s service manual instructions and procedures for preventive and corrective maintenance. Thorough inspection of equipment to detect defective components capable of adversely affecting system performance. Replacement of parts found defective during inspections. Contractor will repair or replace the system component with New Original Equipment Manufacturer (OEM) parts or software, not to exceed 3 business days. Part s values will be assessed by the Getinge USA, Inc. and Department of Veterans Affairs Federal Supply Schedule Contract V797P-4452b or most current contract. Cleaning, calibration and adjustment of components to maintain equipment within manufacturer s specifications, level of performance and accuracy. Operational tests after each corrective and preventive maintenance service to assure level of performance is within specifications. Contractor shall perform quarterly inspections, conduct quality control tests and verify internal parameters to the steam sterilizers. If required, the equipment will be calibrated to conform to manufacturer s specifications. Contractor shall perform quarterly preventive maintenance services per system in accordance with manufacturer s recommendations and procedures. If updates to manufacturer s requirements and/or recommendations occur, contractor must assure compliance with these requirements. Service personnel must have been trained and certified for service and maintenance of the equipment models included in this service contract. Steam Sterilizer chamber will be deep cleaned by contractor quarterly per year. Contractor will provide and install any software update, patches and enhancement intended to update system software version or correct software errors and deficiencies. Contractor shall supply all labor, parts, transportation, test instruments, tools, hardware and software required to perform all maintenance and repair work under schedule A (item 1.2). Unlimited on-site service and technical support, including calls can be performed during regular hours, 8:00AM to 5:00PM. The on-site response time to emergency calls for service will be no more than four (4) hours after notification. There will be an end user 24/7 Customer Support Help Line to address any equipment malfunction issue that may arise after hours during the everyday use of the equipment. In the event that problem cannot be resolved by telephone support, a trained service technician will provide on-site service within 24 hours to solve the malfunction and return equipment back to manufacturer specifications. Contractor s service personnel shall report to the designated COR or the Biomedical Supervisor at the Biomedical Engineering Section Room C12 before and after each service request. A copy of each service report with a checklist of all tasks performed including a list of parts replaced will be provided to the designated COR or the Biomedical Supervisor at the Biomedical Engineering Section Room C12 each day at the conclusion of each service call. Major repairs due to acts of God, chamber, doors, frequency generators, renovation of equipment, negligence or misuse, power line fluctuations, and computer virus unattributable to contractor, are not covered by this contract. Telephone responses will not be accepted. Responses must be received in writing no later than 12:00pm Puerto Rico EST on September 16, 2021. This notice will help the VA in determining available potential sources only. Do not contact VA Medical Center staff in regard to this requirement, as they are not authorized to discuss this matter related to this procurement action, all questions will be addressed during the solicitation stage by the Contract Specialist. All firms responding to this Request for Information are advised that their response is not a request for proposal therefore will not be considered for a contract award.
