This is a Sources Sought Notice (a) The Government does not intend to award a contract on the basis of this Sources Sought or to otherwise pay for the information solicited. (b) Although "proposal," "offeror," contractor, and "offeror" may be used in this sources sought notice, any response will be treated as information only. It shall not be used as a proposal. (c) Any information received from a contractor in response to this Sources Sought may be used in creating a solicitation. Any information received which is marked with a statement, such as "proprietary" or "confidential," intended to restrict distribution will not be distributed outside of the Government, except as required by law. (d) This Sources Sought is issued by VISN 2 Contracting Office for VISN 2, which includes the collecting of information about Conference accommodations to include Conference Space, Meals, and Room nights in Orange County, NY, Putnam County, NY, Dutchess County, NY or Westchester County, NY for the Hudson Valley VA Healthcare System. The VA is seeking to provide for this requirement for a currently unspecified time frame prior to Mid-September 2020, time frame must include a Friday through Sunday stay. The NAICS code identified for this requirement is 721110-Hotels (except Casino Hotels) and Motels. The requirement is detailed in the Statement of Work section of this document. (e) Cursory market research has identified one large business that may be able to provide for this requirement. Contractors that are able to meet the requirements in the attachment are encouraged to email a capability statement and full information to Megan Ross at Megan.Ross3@va.gov. - Part of the purpose of this sources sought is to determine the viability of set aside to a specific socio-economic category. Contractors shall identify the NAICS code for the services being offered as well as their size status under said NAICS. This information will be used to determine the viability of a set aside for this requirement. - Contractors shall also identify any Federal Supply Schedules that may carry the desired services. - Contractors shall identify pertinent point of contact for company, contractor DUNS number for size standard and socioeconomic verification in SAM and VIP. - Contractors shall include any relevant comments about the Attachment(s) if applicable. STATEMENT OF WORK OVERVIEW: The Veterans Affairs Hudson Valley Health Care System (VAHVHCS) is seeking Hotel Accommodations, Conference Space, and Meals for 20 to 50 people for the Warrior to Soulmate Retreat. Four rooms will be of single occupancy, and the rest of the rooms will be double occupancy. The event date is flexible but shall conclude on or prior to September 13. 2020. The check in date will be on a Friday, Conference space will be needed for 8 hours on the next day (Saturday), and Check-out will occur the day after that (Sunday). The date and the number of attendees will be defined in advance of the conference. Location: This meal, lodging and conference spaces are to be at the same location with no transportation needed between them. The location needs to be located in Orange County, NY, Putnam County, NY, Dutchess County, NY or Westchester County, NY. Meals: Please indicate if food service is available on your property, we are looking to include the following meals pre-paid with the conference: Friday Evening: Casual Dinner (Possible Example: sandwich/chips/soft drink) Saturday: Breakfast Lunch Dinner Sunday: Breakfast If your facility does NOT offer food services, do you allow for arrangements made with caterers to bring in food for our event? Audio Visual: VAHVHCS is looking to include the rental of a Projector Screen for presentations Conference Room: The Conference room should be able to accommodate approximately twice the number of attendees, the intention of this requirement is to allow for pairs of two to work in break out groups with some sense of space and privacy. Please also indicate other standard charges at your facility (Such as lodging fees, parking, Wi-Fi, etc.) Other Expected Requirements: The vendor shall be registered with SAM.gov. Invoices shall be submitted electronically via tungsten-network Vendor shall be paid via Purchase Order and Direct Deposit. Credit Card payment is not available for this opportunity.
