SOLICITATION The U.S. Embassy Mexico City has a requirement for a professional vendor to provide lodging and conference room rental for a four-day event in Merida Yucatan, Mexico for 60 attendees from December 2 to December 6, 2024, including lodging days. The selected vendor will be fully responsible for performing all the necessary work including, but not limited to lodging service, conference room rental, AV equipment, and provide meals, all these services as described in the RFQ document. All vendors that respond to the solicitation must be technically qualified and financially responsible to perform the work. At a minimum, each offeror must meet the following requirements when submitting their proposal: Adequate financial resources or the ability to obtain them. Ability to comply with the required performance period, taking into consideration all existing commercial and governmental business commitments. Satisfactory record of integrity and business ethics. Necessary organization, experience, and skills or the ability to obtain them. Necessary equipment and facilities or the ability to obtain them; and Be otherwise qualified and eligible to receive an award under applicable laws and regulations. The offeror shall provide proof of SAM registration (active for all awards) and include the SAM UEID number. The offeror shall provide a quote valid, and spaces granted for 30 days (after due date of the announcement). The offeror shall provide: Hotel brochure Floor plans Menu for: breakfast, working lunch, and coffee break. Cancellation policies for meals, lodging and conference room (it is expected to apply no cancellation fee if cancellation notice is confirmed 48 hours prior event starts). All contractors are to be registered in the SAM (System for Award Management) Database prior to submitting a quotation pursuant to FAR provision 52.204-7 (https://www.sam.gov). The U.S. Embassy Mexico City has a requirement for a professional offeror to perform activities related to Venue Services in Merida Yucatan, Mexico, which includes lodging, and rental of conference rooms and AV equipment, for a 4-days event that will take place in Merida Yucatan, Mexico from December 2, 2024, to December 6, 2024. The selected offeror will be fully responsible for performing all the necessary equipment and facilities as described in the RFQ document that will be published on SAM.gov; including obtaining any local government permits and license to perform the required service, taking into consideration standards that will be mentioned in the RFQ document. Offerors will be responsible for presenting an offer that considers elements listed below, and, if a discrepancy is identified, will be responsible to flag it on in the quotation. All offerors that respond to the solicitation must be technically qualified and financially responsible to perform the work. At a minimum, each offeror must meet the following requirements when submitting their quotation: Be able to understand written and spoken English; Have an established business with a permanent address and telephone listing; Have the necessary personnel, equipment and financial resources available to perform the work; Have all licenses and permits required by local law; Meet all local insurance requirements; Have the ability to obtain a performance and guarantee bond and a payment bond, or to post adequate performance security, such as irrevocable letters of credit or guarantees issued by a reputable financial institution; Have no adverse criminal record; Have no political or business affiliation which could be considered contrary to the interests of the United States; Have good experience and past performance records; Identify specialized experience and technical competence required to complete the required service in accordance with this request.
