Check In date 20 Dec 2019. Basis for award will be “best value” to the government as determined by lodging availability, menu selection and price. In the preparation of the proposal, contactors shall identify responses to match the alpha/numeric below. The vendor will provide at least 70 rooms for soldiers and immediate family members who live outside 50 miles radius. The Vendor will provide 4 private meeting rooms for the following use: Meeting room with projector screen for 390 adults with round tables to seat 10 Meeting room with projector screen that can hold 100 adults with just chairs Childcare room with projector screen for 40 children; maximum capacity for 50. General session area for registration and 12 resources tables Meal Requirements: The Vendor will ensure meals are prepared for the following dates, time, meal type and headcount: Date: 21-22 December 2019 Hot Breakfast buffet: 390 headcount; setup outside meeting room;7:00AM-8: 00AM Hot Lunch buffet: 390 adults; setup outside the meeting room; 12:00PM – 1:00 PM Hot children breakfast buffet: 40 headcount; setup outside meeting room;7:00AM-8: 00AM Hot children lunch buffet for 40 children; setup outside the childcare room; 12:00PM – 12:45PM Breakfast: Eggs 2 Selection of Breakfast meat Breakfast potatoes Fruit Bread ( muffins or bagel) Juice Milk Coffee Lunch Adult Buffet: One Selection salad Two Selection of Entree Two Selection of dessert item (cookie, brownie, etc.) Juice Milk Coffee and Tea (cream and sugar) Lunch Children Buffet: One Selection of vegetable Two Selection of Entrée (chicken tenders, Mac and cheese, etc) Two Selection of dessert item (cookie, brownie, etc.) Juice Milk *A vegetarian option should be included on the lunch buffet for up to 10% of the headcount. Vendors are to provide priced buffet menu options with their proposal. Any variations from meal requirements must be clearly noted in the proposal. If applicable, hotel partner for catering will provide buffet service in hotel as indicated above.
