The US Government is seeking venues that can accommodate lodging for 150 guest and provide conference space for approximately 300 people in Waikiki. Performance requirements include the following: A.) Lodging and associated accommodation for 150 guests (based off estimate, will have exact numbers after RSVPs close by 15 August 2021). Rooms should be in a contiguous block and be “semi-private” (i.e. somewhat separated from other hotel guests). Block of rooms must be able to accommodate security posts to secure guests while they are sleeping. B.) Provide dedicated registration counter for guest arrivals for our block of rooms. An estimated time of arrival will be provided to the hotel for guest tracking. USARPAC personnel will be allowed to provide conference orientation C.) Provide box lunches for noon meals. E.) Venue must be able to provide the following spaces, amenities, and qualities for the conduct of the conference: One ballroom with capacity to seat 300 personnel (approximately 15,000 sq. ft); room must be easily divisible (with physical partition) into at least three separate spaces to accommodate breakout sessions of the conference; room must be able to accommodate a stage, large screen, microphone/speakers, and necessary audiovisual and internet facilities to facilitate conference activities. 7-8 smaller meeting rooms capable of accommodating meetings of approximately 7-10 personnel each (approximately 400 sq. ft apiece); rooms should be adjacent and capable of being combined into a larger room if necessary. Must have continuous access to at least two (2) of the smaller rooms detailed in 2.E.ii from 0900 hours Sunday, 12 September through 2000 hours on 16 September. Space outside the ballroom(s) will be a space dedicated to the conference, for attendees and conference personnel. This space is to enjoy refreshments, socialize, and pick up and eat their box lunch. This space will have a mix of round tables to sit at and high-top reception tables to allow for conference participant interaction outside of formal conference activities. Conference space should be reasonably isolated from general hotel guests, and access to the conference area should be easy to control by venue or USARPAC personnel. Conference space will require ability to accommodate security posts (preferably armed) during the execution of meetings. USARPAC security personnel will require access to all conference areas at least one (1) hour prior to conduct of the conference to all sweeps by military working dogs. F.) Venue must be accessible to and have parking space for 3-4 tour buses. G.) Venue must provide parking space on-site for fifteen (15) 15-passenger government vans and twenty (20) sedan-sized government vehicles.
