SEE ATTACHED COMBINED SYNOPSIS SOLICITATION Supplies Needed: Lease of 6 Conference Rooms SUBMIT ALL QUESTIONS BEFORE: 2 AUGUST 2023 @ 1100 AM EST Salient Characteristics: 2 Large Ballrooms Rooms General Sessions Space – Must have round tables with crescent seating and 6 chairs per table to accommodate 240 individuals Spouse Session Space – Must have round tables with crescent seating and 6 chairs per table to accommodate 84 individuals. 3 Smaller Rooms allowing for breakout sessions. Each break-out room must have a table and 4 chairs. 1 Room for an Operations Center. Must have 6 tables that are at minimum 6 inches in length and 2 chairs at each table. Room must have enough outlets to support at minimum 10 computers and a multi-function device. 1 Room for Speakers. Must have at minimum 1 table and 2 chairs. 1 Room for an office. Room must have at minimum 2 tables and 4 chairs. Conference Space must be co-located in the same complex with hotel rooms and have at minimum 167 rooms for lodging. Lease will be for 6 days 30 September through 6 October 2023. Incidental Service must include Audio Visual Support with LCD projectors/screens (3 total), Audio connection for laptop or personal computer, available internet (LAN and WiFi) throughout all rooms, 2 podiums, 4 lavalier microphones, and 2 handheld microphones. *AMENDMENT TO THE SOLICITATION (0001)* Conference Center must be Near DC (THERE IS NO minimum/maximum mile radius) and close to one of the following Airports: BWI Airport, Dulles International Airport, or Regan National Airport.
