VENDOR QUESTIONS/CLIENT ANSWERS: 1) RFQ page 7, section 9.2: QUESTION: The 910 bins, is that an annual quantity count that is divided on a monthly base equaling an estimated 76 containers to be serviced a month? ANSWER: Yes the 910 would be quantity for the year. 910 bins is not guaranteed but could be at the quantity by years end. QUESTION: 100 boxes monthly or as needed—what is the approximate estimate of the historic volume? ANSWER: BOX volume has ranged from 25 -100 boxes per month QUESTION: How much notice is provided when the 1000 boxes need to be destroyed? ANSWER: The government would provide up to 2 weeks notice if there were to be a large order of this size. QUESTION: What size of container is the media container? ANSWER: 96 gallon shred bin for the media container. QUESTION: Is the media container part of the 30 on-site station containers? ANSWER: Yes, the government will designate one of the 96 gallon bins for MEDIA ONLY --------------------------------------------------------------------- 2) Page 6, section 3.2: QUESTION: Can cross-cut shredding be removed as there is a possibility that most shred trucks use pierce and tear? ANSWER: Cross Cut Shredding is the minimum requirement of shredding. The government understands that most shredding companies today are equipped with Pierce and Tear which is more secure -------------------------------------------------------------------- 3) Page 7, section 7: When approval to reschedule shredding is granted, the contractor will accomplish within 24 hours after the severe weather has terminated, at no additional cost. QUESTION: Can the time frame for reschedule be made with approval of the COR? ANSWER: The government COR can approve a reschedule time due to unforeseen circumstances to a time that is convenient to the government and the contractor. --------------------------------------------------------------------- 4) Page 5, section 3: QUESTION: Can the “will-call basis” be scheduled within 2 weeks or set to a 4-week schedule due to routing purposes? ANSWER: The “ will call basis “ can be scheduled within a 2 weeks,. The government anticipates a little flexibility with scheduling as office population fluctuates with today’s environment. END =============================================================================== AMENDMENT 2, July 6, 2022 RO Shredding, Open Market RFQ HQ042322R0022 / PR KOARO22RE017 This Amendment to the combined synopsis/soliciation is being issued for two reasons: 1) To answer questions and provide clarification on details of the combined synopsis/solicitation. See below. 2) To extend the period to submit your quote to Friday, July 15, 2022 at 11:00 a.m. Eastern time. ------------------------------------------------------------------------ QUESTIONS AND ANSWERS: 3.3. Collection Requirements: Contractor shall provide thirty (30) wheel-able, lockable 96-gallon collection bins, … Yet, the estimated quantity under the Schedule of Items Table is listed as 910 each for a monthly service. Documents/Material (Bins) 910 Each Monthly or as needed $ - $ - Question: Do you have bins and/or consoles on-site that we will need to service (in addition to the 30 bins we provide) to bring us to the estimated quantity of 910 each per month? ANSWER: Only 30 bins for Document Shredding, and 1 bin for hard media items such as DVD/CD’s. The quantity of 910 bins is not per month but up to over the course of the contract year. This applies to the total of shred boxes as well. ---------------------------- Question: What is the actual number of bins that are to be serviced and billed on a monthly basis? ANSWER: The number of bins to be serviced and billed per month varies based on workload. If the amount of shredding for one month was found to be minimal services the government would request delay of services to the next month out of logic. --------------------------- Question: When providing a Total Cost for the Bins and Boxes, my assumption is that we use a 12-month multiplier for an Annual Total – Is this a correct assumption? ANSWER: Not actually The total quantities requested for solicitation, 910 shred bins, 1,000/500 shred boxes, 1 hard media shred bin, are the total annual quantities of each respective service so each item would have it’s own set value and that set value would be multiplied by the total quantity for the total annual cost. i.e. whatever your cost is to shred one (1) 96 gallon bin of documents is would be multiplied by 910 for that item. ---------------------------- 8) STATEMENT OF WORK: 3.5. Estimated Quantities per Site: 1) All material boxes and wheel-able bins designated for shredding will be placed on the dock by the Government for onsite shredding. 2) Total Maximum Estimated Pounds Annually for Paper and Related Products based on: a) Estimated one (1) Bin 96 gallon tote weighs 300-380 lbs. b) Estimated one (1) records Box weighs 25-30 lbs. 3) Total Maximum Estimated Bins Annually for CD/DVD; 1 bin for annual shredding of CD/DVD. Question: Referring to Item 2a and 2b above; Is there a requirement to track the shredding by weight or by bin/box? ANSWER: Shredding is only required to be tracked by number of bins and or number of boxes as that is how shredding is billed. Question: How is the service to be billed – by weight or by bin/box? ANSWER: Billing shall be by number of bins and or boxes shredded. ---------------------------------------------------- QUESTION: I am just reaching out regarding the above referenced solicitation to clarify the number of bins needed for this particular project. In one portion of the solicitation it denotes #30-96 gallon bins and the schedule of items chart indicates different numbers. Would you be able to provide me with a break down of the bins needed and frequency of services. Thank you in advance for your communication. ANSWER: Only 30 – 96 gallon bins are required to be on site. Due to COVID safety practices still in place and reduced employees on site at time of solicitation frequency of services could vary from once a month to two times a month. END -------------------------------------------------------------- JUNE 30, 2022 -- AMENDMENT 1 TO THIS RFQ: The period for acceptance of vendor questions on this combined synopsis/solicitation is extended from 11:00 a.m. Eastern on Tuesday, July 5, 2022 to 11:00 a.m. Eastern time on Thursday, July 7, 2022. Please submit any questions you have regarding this requirement on or before Thursday, July 7, 2022 at 11:00 a.m. Eastern time. This Amendment makes no other changes to the combined synopsis/solicitation or attached documents.
