The 42nd Contracting squadron at Maxwell AFB AL, is looking for preliminary market research to enable planing for a two day event, from 31 Oct -1 Nov 2024, in the National Capitol Region, targeted to bring US Space Force education leaders together with space-related private industry and civilian academic institutions who would present overviews of current initiatives and programs that would be pertinent to Guardians’ education to include specific course offerings that are not currently in the existing Space forces curriculum. 2.0 DESCRIPTION OF SERVICES. The following items are required for performance under this contract. Event venue space in the National Capital Region that will allow over 350 attendees, with suitable large meeting spaces and breakout rooms one-on-gov sessions, to include full audiovisual and information technology support. 2.1 Venue Space 2.1.1 Need a venue to host 350 attendees, 2.1.2 Conference/ Auditorium room 2.1.3 Breakout rooms for one-on-gov 2.2. A/V Support 2.2.1 Equipment for rooms 2.3. IT Support 2.3.1 Internet connectivity for staff 2.3.2 Live stream for auditorium 2.3.3 Internet connectivity for breakout rooms 3.0 DELIVERY REQUIREMENTS: 3.1 Requested Event Dates are 31 OCT 24 - 1 NOV 2024 4.0 GENERAL INFORMATION: Interested Vendors are asked to provide the below information via email to both Points of Contact for this project, SSgt Drew Matter, drew.matter@us.af.mil, and Jeremey Kersey, Jeremey.kersey.1@us.af.mil, by 4pm CST on 14 Aug 2024, in order for us to include it in our research. 4.1 Venue Location within the Nation Capitol Region 4.2 Can your venue hold the requested amount of personnel, and does it have availability for the requested dates? 4.2 What are the standard reservation procedures for large events? i.e. suspense dates for contracts to be in place for reservations, payment procedures, and any other pertinent information on reservations. 4.3 Does your company have any mandated food purchase clauses in their prospective contracts?
