NOTICE OF INTENT TO ISSUE SOLE SOURCE AWARD NC08 contracting representing C.W. Bill Young Veterans Administration Medical Center intends to accept a quote from Thundercat Technology LLC. on a sole source basis under the authority of FAR Subpart 13.106-1(b) Only one responsible source and no other supplies or services will satisfy agency requirements. This sole source requirement is to provide RIMAGE hardware and software, service agreements for a base plus two option years across the Bay Pines VA Healthcare System. This notice of intent is not a solicitation. Information submitted in response to this notice will be used solely to determine whether competitive procedures could be used for this acquisition. RIMAGE Hardware and Software (Data Distributing LLC) SN: 10046476 (8300N) - *EOSL: 9/30/2026 VERTEX Software (Data Distributing LLC, Vertex INC) SN 1022015 DISCO Software (Data Distributing LLC) SN: 104768-1 Base Year: POST RAPIDEXCH+ WRNTY-RMGE SN: 10046476 (8300N) - POP START DATE FROM PO DATE FOR 1YR POST DISCO SFW WRNTY SN: 104768-1 COVERED TO 12/10/2025 POST WRNTY VERTEX SOFTWARE SN: 1022015 COVERED TO 12/6/2025 GENERAL: This Brand Name requirement is to procure extended warranty, service, and support for RIMAGE hardware and software. This equipment has been purchased, installed, and in use at C.W. Bill Young VAMC, Release of Information Section of the Business Office Service. Maintenance and support are required to ensure the equipment continues to function to support the release of images and medical records for C.W. Bill Young VA Healthcare System (VAHCS).These systems are located at the C.W. Bill Young Veterans Medical Center and the Lee County VA Clinic. SCOPE: The Business Office Service, Release of Information (ROI) section focuses on providing medical records on CDs and DVDs to Veterans and external customers. The hardware Original Equipment Manufacturer (OEM) is Rimage Corporation; the software providers for the equipment are Vertex, INC. and Data Distributing, LLC. VAHCS requires an extended post-maintenance warranty necessary for performing recurring/preventive maintenance and repairs on the Rimage DVD/CD Burner printer machines and the following software: Post Rapid Exchange Warranty-Rimage Data Distributing, Vertex Post Warranty Vertex Software, and Data Distributing Post Warranty Disco Software. The system post-warranty maintenance and repair includes all portions of the system and any attached accessories. Vendor shall have access to proprietary information needed to access service mode data, and codes. . Maintenance and support are required to ensure the equipment continues to function to support the release of images and medical records. Pre-Inspection: Site Visit Any vendor(s) who want to participate and supply a quote for this requirement shall be required to participate in an on-site pre-inspection (site visit(s)) of each Rimage system to validate condition of the systems to ensure operability and expected service life. The Contractor shall provide an extended post-maintenance warranty for hardware and software to cover all labor, and shipping costs, conducting remote tests to determine the source of any malfunctions to offset downtime, i.e. hardware, diagnostic software, and proprietary parts as recommended by the OEM for the Rimage DVD/CD Burner Duplicator 1E301-100, Model 8200N, [(1) SN 10040641, EE 114206, located at BPVAHCS and (2) and (2) SN 10040353, EE 114207 located at LCHCC] equipment and software listed below:
